All major QuickBooks functions live in the left-hand navigation panel. Here’s what each section does and when to use it.
Transactions (Banking)
This is where your bank feeds live—and where you’ll save the most time.
What’s inside:
- Banking: Connect your bank and credit card accounts here
- Reconciliation: Match your QuickBooks records to bank statements
- Rules: Automate transaction categorization
- Chart of Accounts: Your financial filing system
Why it matters: Once connected, QuickBooks automatically imports transactions, eliminating hours of manual data entry. I’ve seen businesses save 5-10 hours per month just by properly utilizing bank feeds.
Common mistake: Not setting up rules for recurring transactions. You’ll end up manually categorizing the same Netflix subscription 12 times a year.
Sales Section
Everything related to money coming into your business lives here.
What’s inside:
- Invoices
- Customer payments
- Estimates
- Sales receipts
- Customer list
Why it matters: This is your accounts receivable command center. If you’re tracking who owes you money, you’ll live in this section.
Common mistake: Creating sales receipts when you should create invoices (or vice versa). Sales receipts are for immediate payment; invoices track money owed. Use the wrong one and your accounts receivable reports will be meaningless.
Expenses Section
Track every dollar leaving your business here.
What’s inside:
- Bills (for tracking what you owe)
- Expenses (for immediate payments)
- Vendor management
- Purchase orders (if your subscription includes them)
Why it matters: Proper expense tracking is the difference between knowing your true profitability and just guessing.
Common mistake: Recording everything as expenses when some should be bills. If you receive an invoice you’ll pay later, it’s a bill. If you pay immediately, it’s an expense. Mix these up and you’ll double-count payments or miss what you owe.
Reports Section
This is where QuickBooks becomes truly powerful.
You’ll find dozens of pre-built reports:
- Profit & Loss statements
- Balance sheets
- Customer sales reports
- Expense reports by category
- Cash flow projections
Why it matters: Reports turn your data into business intelligence. But they’re only accurate if you’ve been using the other sections correctly.
Pro tip: Bookmark your 3-5 most-used reports for quick access.
Payroll Section
If you subscribe to QuickBooks Payroll, this section appears.

The Top Navigation: Quick Access Tools
Quick Create Button (+ Sign)
Click this plus sign at the top of your screen for instant access to common transactions:
- Create invoices
- Record expenses
- Enter bills
- Log sales receipts
Time-saver: No more clicking through multiple menus. This button alone can save you dozens of clicks per day.
Global Search Bar
Type anything—customer names, transaction amounts, keywords like “reconciliation”—and QuickBooks takes you directly there.
Example: Type “reconciliation” and jump straight to the reconciliation tool. Type a customer name and see all their transactions instantly.
Power move: You can search by dollar amount to find specific transactions quickly.
Gear Icon (Settings)
Located in the upper right corner, this is mission control for customizing QuickBooks:
- Account settings
- Company information
- List management
- System tools
